We Are Hiring: Senior Document Control Specialist

About the Role:

Axiom, a premier program and project management firm, is seeking an experienced Senior Document Control Specialist to support a major construction and infrastructure project located in Boston. The successful candidate will be responsible for maintaining organized and updated engineering project documentation using approved project databases such as SharePoint and ProjectSight.


Key duties include uploading submittals and RFIs, producing Weekly Status Reports, deliverable tracking and ensuring data storage practices comply with client laws, regulations, and contractual requirements.


This role requires working closely with the project team to collect, store, and retrieve critical information efficiently. The ideal candidate will be adept at organizing documents by date, discipline, or project type and ensuring that all records are accurate, accessible, and secure.

Key Responsibilities:

As a Senior Document Control Specialist, you will play a key role in maintaining accuracy, consistency, and  acessibility across all project documentation.

  • Distribute documents as needed.

  • Upload and file documents according to company procedures.

  • Collect and register technical documents such as drawings and reports in the company’s system.

  • Review and update documents to support maintenance and quality control.

  • Keep personnel informed of new document versions and access instructions.

  • Handle records across various departments and maintain an organized project library database system.

  • Create document templates for use by other project personnel.

  • Maintain confidentiality of sensitive materials and control access permissions.

  • Establish and maintain record retention timelines in accordance with company and client policy.

  • Perform technical editing of reports and transcribe meeting minutes as needed.

  • Track deliverables and maintain a submittal matrix to support timely project delivery.

What You'll Bring:

  • Experience: Minimum 2+ years in document or records management, preferably within engineering, architectural, or construction environments. Prior experience supporting construction projects is required.

  • Technical Expertise: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), SharePoint, Project Sight, and Adobe pro.

  • Education: Associate degree or higher in Computer Science, Business Administration, or related field.

  • Attention to Detail: Strong organizational and data management skills with a focus on precision and document integrity.

  • Communication & Teamwork: Ability to collaborate effectively across multiple disciplines and
    departments, maintaining responsiveness to project needs.
